The Hilton Chicago O’Hare Airport Hotel is located right at the airport. You are able to walk from the terminal into the hotel.
CEMA will coordinate your room reservation request with the hotel; indicate your preferences on your registration form.

- The rate is $231 USD per night, plus state/local taxes of 17.4%. If there are more than 2 people in guest room, an add’l $25/night/person will be charged.
- A 17.4% local room tax will be added to your bill.
- Check-in time is 3:00 p.m., checkout time is 12:00 p.m.
- Reservations must be cancelled at least 48 hours before your scheduled arrival to avoid a fee of one-night’s room rate plus tax. (Note: if you need to cancel your room reservation at the last minute, please contact the hotel directly at (773) 686-8000 and ask for the Front Desk.)
- If you need to extend your reservation, please contact Karen as soon as possible. If you extend at the hotel, they will not extend your reservation at the CEMA group rate.
- At check in, you should receive an envelope from the Front Desk containing your name badge (if they don’t give it to you, please ask for it).
- If you check out prior to the check-out date on your reservation, the hotel will charge you an Early Check-out Fee of $50.

PARKING
CEMA Fall Meeting Attendees will receive a $10.00 discount off the Hotel’s Valet Parking rate of $75.00 for overnight parking. There is no Self-Parking at the Hilton Chicago O’Hare Airport Hotel; more about parking options at O’Hare HERE.
What is the cancellation policy?
FOR REGISTRATION FEES: To request a refund (less a $100 service charge), notify Karen at CEMA (Karen@CEMAnet.org) of your cancellation in writing no later than noon on August 30. NO REFUNDS can be issued for cancellation after this date. You may send a substitute in your place at any time.
FOR HOTEL: You must cancel hotel reservations at least 48 hours prior to your arrival date to avoid a fee. Please inform Karen at CEMA headquarters if you need to cancel your room reservation (239.260.8406). Late cancellations – less than 48 hours in advance – will be charged a cancellation fee of one night’s lodging by the hotel.
When does Early Bird end?
The Early Bird registration deadline is Friday, August 16, to pay the reduced rate of $480. After the 16th, the registration fees will increase to $530 for the first attendee from your company, and $490 for the second and subsequent attendees.
What is the deadline for hotel reservations?
The deadline for hotel reservations is Friday, August 23. After this date, the block of rooms we are holding will be released. We cannot guarantee room reservations after Friday, August 23th.

What meals are included in my registration fee?
Your registration fee includes the following meals:

- Welcome Reception and Dinner, Tuesday, September 17, 6:30pm
- Breakfast on Wednesday, September 18, 6:30am
In order for guests to participate in the meal events, they must be registered. The registration fee for guests is $250, which includes all meals and attendance at the Joint Session Wednesday morning for our guest speaker. There are options on how to pay your guest’s registration fees on your registration form.
What is the dress code?
Comfortable business casual dress is appropriate. Rooms tend to be chilly. Tuesday evening dinner is also business casual, and may include sport coat for men; pantsuits, slacks, skirts/dresses for women.
Will paper handouts be available at the Conference?
No, we are trying hard to reduce the impact of our meetings and conferences. You will receive links to minutes from the last meetings, and to agendas for the Septermer meeting via email in advance. In addition, each morning during the meeting, you will receive an email with the schedule for the day and links to the agendas for that day’s meetings. The daily email will be sent to the email address used in registration; if you wish to receive it at a different email address, contact Angela at the CEMA office.
I will have a guest; how do I pay for them?
You have two options for payment for guests:
- You can simply add their registration fee to your own and make one payment for both registrations; or
- You can pay for them separately (if, for instance, you need to pay for them with a personal credit card while using a business card to pay your own registration). When you indicate you have a guest, you’ll be able to select which option you wish to use, and will be directed accordingly in the registration form. Or you can click here to register a guest now.
